Refund Policy

1. Overview

Kwata Team Inc. ("Company", "we", "us") wants you to be satisfied with the Kwata Chat service. This Refund Policy outlines the terms under which refunds may be issued for purchases made through our platform.

2. Custom Build Fee (One-Time)

The one-time custom build fee covers the design, configuration, and deployment of your AI Chat Concierge.

  • Before work begins: Full refund available within 7 days of payment if no work has commenced
  • Work in progress: Partial refund may be issued based on work completed, at our reasonable discretion
  • After delivery: No refund on completed custom builds that have been delivered and approved by the client

3. Monthly Subscription (Hosting & Management)

  • Current billing period: No refund for the current billing period. Your service will remain active until the end of the period.
  • Cancellation: You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.
  • Unused time: We do not provide pro-rated refunds for unused portions of a billing period.

4. Service Disruption

If the Service experiences significant downtime (more than 48 consecutive hours) that is attributable to us and not caused by third-party services, force majeure, or scheduled maintenance, you may be eligible for:

  • A pro-rated credit for the affected period applied to your next billing cycle
  • Extension of your subscription period by the duration of the disruption

Service credits must be requested within 14 days of the disruption event.

5. Satisfaction Guarantee

We offer a 14-day satisfaction window from the date your AI Chat Concierge goes live. If you are not satisfied with the service during this period and have made a good-faith effort to work with our team to resolve any issues, you may request a refund of the first month's subscription fee.

This guarantee applies to the monthly subscription fee only, not to the one-time custom build fee for completed work.

6. Non-Refundable Items

The following are not eligible for refunds:

  • Third-party service costs incurred on your behalf (SMS fees, domain registration, etc.)
  • Custom development work that has been completed and delivered
  • Services cancelled after the current billing period has passed
  • Accounts terminated for violation of our Terms of Service

7. How to Request a Refund

To request a refund, please contact us with the following information:

  • Your account email address
  • Date of purchase or billing period in question
  • Reason for refund request
  • Any relevant supporting details

8. Refund Processing

  • Refund requests are reviewed within 5 business days
  • Approved refunds are processed within 10 business days
  • Refunds are issued to the original payment method
  • Bank processing times may add 5-10 additional business days

9. Data After Cancellation

Upon cancellation or refund, your data will be retained for 30 days to allow you to export it. After 30 days, your data (including conversation history, knowledge base, and analytics) will be permanently deleted. See our Privacy Policy for details.

10. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated "Last updated" date. Material changes will be communicated to active subscribers via email.
